A practical marketing and sales handoff

A lead handed from marketing to sales: what both teams need to know

Someone sees a post or ad and asks a question; then a different colleague replies. If that colleague sees only “new lead,” the conversation starts again and may contradict the original message. A short handoff note preserves the question and its context. The shop and inquiry below are entirely fictional. They do not describe MekStep's current systems, a real customer or a real campaign.

Keep five things in a minimal handoff: what the campaign post actually said, the person's original question, where the inquiry came from, the channel they agreed to use for a reply, and who owns the next action. Mark unknown details as unknown. The sales colleague checks the post's promise and the appropriate reply channel, then continues from the real question without inventing a price or product feature.

A handoff should continue the conversation

Salesforce's 2026 guidance says a handoff to sales needs the context behind the interest and a proposed next step, not just a name. HubSpot's own guidance emphasizes shared definitions and consistent messaging between the teams. These are operating principles, not a mandatory procedure for every Armenian business or a guarantee of sales results.

Marketing can explain what the person saw and asked. Sales can continue from that meaning, clarify what is still open, and feed useful observations back. Merely reading a post is not the same as sending an inquiry that awaits a response. Teams should first agree what counts as a handoff-ready inquiry in their own process.

A five-field handoff brief

First, save the actual wording of the post, or a verifiable link to it. The salesperson should know what was offered rather than guess. Second, keep the person's question in their own words; do not relabel it as “ready to buy.” Third, note the known source, such as the specific post or inquiry page. If it is unknown, say so. Salesforce Help uses Lead Source as an example field for an acquisition channel, but this article requires no particular CRM feature.

Fourth, record the reply channel the person requested or clearly agreed to use. An inquiry is not by itself a reason to switch to any other channel; follow the applicable privacy rules. Fifth, identify the colleague or team responsible for the next action. “Sales will handle it” is too vague until someone accepts the task.

Salesforce Help: lead source and ownership fields

  • Campaign promise: exact wording or a verifiable link.
  • Original question: the person's words, with no invented intent.
  • Source: a known post or page, or “unconfirmed.”
  • Reply channel: the option the person agreed to, not a guess.
  • Next owner: a specific role and acknowledgment of receipt.

A fictional example, from post to reply

Imagine an unnamed stationery shop in Yerevan. Its fictional post simply says, “Ask about available desk-lamp options.” A person replies to that post: “Is there a model with adjustable height?” and asks to receive the answer in the same message thread. There is no real name, account, phone number, price, verified product feature or actual shop in this example.

Marketing's handoff could say: “Post: invitation to ask about available desk lamps. Original question: is there an adjustable-height model? Source: message on that post. Reply channel: this message thread, as requested. Next owner: assigned sales colleague; acceptance still to be confirmed.” Sales checks actual product specifications first and then answers the question, or honestly says they need to verify. The brief does not claim that such a model exists.

Mark missing facts instead of filling them in

If the original question was lost, write “question not retained” and, where appropriate, ask for it again through the accepted channel. If the general type of post is known but the specific source is not, write “source unconfirmed.” Guessing can make the first sales reply contradict what the person saw.

If a post mentions a condition that sales cannot verify, check whether it is still current before repeating it. Do not present an unverified price, delivery time or product feature as fact. An unknown contact preference is also an open question; do not move the conversation to another channel merely because it is easier for the team. This is a practical choice for data minimization and a clear conversation, not local legal advice.

Acceptance and useful feedback

Treat the handoff as complete when the next owner has seen the note and accepted the action. Teams can choose a simple acknowledgment, such as “Received; I am checking the product specification.” That is an example of a process, not an automation that this site already provides or a promised response deadline.

After the first exchange, sales can return only the observation marketing needs to improve the message, for example: “People ask whether the height adjusts, but the post leaves that unclear.” Do not circulate personal details or an entire conversation without need. Salesforce and HubSpot describe the value of two-way feedback, but this article does not score leads, measure a funnel, or estimate a purchase probability.

A reusable handoff card for one inquiry

Copy these five lines into your team's approved workspace and fill in only what is necessary for this inquiry. This is a teaching template; it does not imply that MekStep collects or stores these fields on its site. If a fact is not verified, write “unconfirmed” and identify who will clarify it.

Before the first reply, sales can ask: Do I know the person's real question? Does my answer match the post? Am I using the agreed channel? That short check is more useful than a long set of unverifiable notes. The output here is a pre-sale handoff card, not a lead-qualification score, CRM implementation plan or transfer of a completed order.

What a sales manager does

Starting a retail conversation

  • Post promise or link: …
  • Person's original question: …
  • Known inquiry source: … / unconfirmed.
  • Agreed reply channel: … / unconfirmed.
  • Next owner and acknowledgment: …

Key takeaways

  • Pass on the actual campaign message and the original question, not merely a “new lead” label.
  • Record the known source, agreed reply channel and next owner; mark unknown facts as unknown.
  • Sales verifies claims and continues the same conversation without promising unconfirmed terms.
  • The scenario is fictional and describes no real customer data or MekStep CRM capability.

Common questions

Are a name and phone number enough for the handoff?

They do not provide useful conversational context on their own. Where such details have been collected appropriately, the colleague also needs the post's promise, original question, known source, agreed channel and next owner. This article does not require collecting new personal fields.

What if the source is unknown?

Write “source unconfirmed” instead of attributing the inquiry to a campaign. Correct the note through your approved process if the source is later verified.

Can sales reply through another channel?

Do not infer that from the existence of an inquiry. Check the person's chosen or agreed contact method and applicable rules. In our fictional example, they requested a reply in the same message thread.

Does this require a sales automation system?

No. It is a teaching card for passing information between teams. Any internal tool and data-handling process must fit the real organization.
